# OCR vs Manual Data Entry: Compare a Business Card Capture Workflow


OCR and manual data entry solve the same handoff problem in different ways. One extracts text from an image; the other asks a person to read and type each field. The right comparison is the full workflow, including review and export.


## The two workflows side by side


With OCR, a user captures an image, reviews the extracted fields, corrects unclear text and exports the record. With manual entry, a user reads the card, types the fields, checks them and saves the record. Both need a human decision when the card is ambiguous.


## Where manual entry goes wrong


Manual entry creates predictable risks: skipped fields, inconsistent company names, transposed digits and notes that are added too late to be useful. A second review can improve consistency, but it adds another handoff and more typing.


## Where OCR goes wrong


OCR can misread stylized fonts, low-contrast print, abbreviations, phone digits and text that crosses a logo. Treat each extracted field as a suggestion. Review names, email addresses, phone numbers and company names before the record leaves the capture workflow.


## Compare the review effort honestly


Do not compare OCR with an idealized manual process. Track the same fields in a small sample and record which fields needed correction, which records needed a second look and how many records were ready for export. The result is a workflow baseline for your team, not a universal accuracy claim.


## Which one fits which situation


Manual entry can be practical for a handful of cards with unusual layouts. OCR is useful when many cards arrive at once and the team can review extracted fields in batches. A mixed workflow works when standard cards go through OCR and unusual cards are typed manually.
